K-6 OFFICE MANAGER
JOB DESCRIPTION

POSITION STATUS: Full-time 

START DATE: As soon as possible

COMPENSATION: $20.00-$23.00 per hour based on experience.

Serving the Forest Lake and surrounding areas since 1999, North Lakes Academy . operates an elementary campus (grades K-6) and a secondary campus (grades 7-12) both in Forest Lake, serving a total of 460 students. REQUIRED QUALIFICATIONS: 

  • Self-motivated with the ability to organize and prioritize work assignments 

  • Excellent skills with Excel, and manipulating numbers, data, schedules, and staff and student records.

  • Proficient with office technology & office software programs, (ex. Google Drive, Microsoft Office Suite, PowerSchool). 

  • Ability to maintain confidentiality and diplomacy 

  • Excellent verbal and written communication skills 

  • Excellent interpersonal skills in dealing with a wide variety of people 

  • Excellent calendar management skills

 

PREFERRED QUALIFICATIONS:

  • Experience working in a school or government office

  • College degree and experience as an administrative or executive assistant 

 

LICENSURE REQUIREMENTS:

No licensure requirements.  Bachelor’s degree preferred. Experience as an administrative assistant or office manager preferred. Experience working in a public school or government agency is preferred. 

 

CONTRACT DAYS:  

220 full-time duty days across school year and summer

 

POSITION SUMMARY:

This position is to ensure that in their interactions with NLA, all visitors (parents, students, staff members, service providers, and other visitors) feel welcomed, assisted, and heard.  The front office manager will greet guests, visitors and parents in a cheerful, dignified and engaged manner and see to the needs of visitors throughout their stay in and exit from NLA.

 

This position supports the administration, staff, families and students of NLA with clerical and confidential administrative tasks, including being the primary point of contact for families seeking to enroll their children in NLA, K-6. This position operates the student health office and regularly deals with students experiencing minor illness or injury, including dispensing of medicine under the supervision of a licensed school nurse. This position also arranges for K-6 substitute teachers, the night before or morning of, and maintains, along with the 7-12 Office Manager, the infrastructure for substitute teachers district-wide. This position supports the Principal. This position is the point of contact and coordinator for events held in/hosted by the K-6 Campus.

 

 

CORE RESPONSIBILITIES:

  • Provide administrative assistance to the building Principal and Counselor.

  • Provide clerical support to the administration, including Assessment/data coordinator to analyze, depict, summarize,  and report data.

  • Manage daily attendance tasks: respond to attendance calls/emails, issue late passes, and ensure accurate PowerSchool entries. Confirm parent permission before early student dismissals.

  • Track truancy: run weekly reports, send Trigger 1 letters, and escalate Trigger 2 cases to Leadership for county referral.

  • Serve as front office receptionist: answer calls, return voicemails/emails (including the general Enroll@northlakesacademy.org inbox), and direct inquiries to appropriate staff.

  • Greet and assist all visitors while upholding building security protocols and ensuring visitor satisfaction.

  • Act as the primary contact for enrollment: maintain records of enrollments/un-enrollments, follow up with families, and support related events.

  • Coordinate last-minute substitute teacher coverage in collaboration with the principal.

  • Provide general administrative support to NLA Administration.

  • Operate the student health office under the supervision of the school nurse; document health visits and assist with minor medical needs.

  • Support event logistics for K-6  campus events  (may include evenings/weekends).

  • Monitor and maintain security of the front foyer; make announcements as needed, including during emergencies.

  • Oversee student meal setup and service: order meals, set up breakfast, run point-of-sale for lunch, and generate reports.

  • Perform additional light duties that do not require prolonged time away from the front desk (e.g., filing, copying, assisting with meal service).
     

 

OTHER RESPONSIBILITIES:

  • Order, manage, and distribute office and classroom supplies.

  • Retain, protect, and manage school records, including retrieval, transfer, and disposal.

SUPERVISION and EVALUATION:

This position is supervised and evaluated by the K6 Principal. Performance will be evaluated on a rubric model with pre-established goals and collaboratively set goals.
